How do I sign up for Fleet Share?
Sign up at Fleetster.
Do I need to upload my license?
Yes, before approval. You can upload a license photo via the app or have Fleet Services staff scan it in person.
What is Fleetster?
Fleetster is the platform that Fleet Share runs on. It lets drivers create profiles, browse vehicles and reserve vehicles 24/7. It also powers the automated key kiosks.
How is Fleet Share different from renting through Fleet Services?
Fleet Share replaces email/phone booking with 24/7 online reservations, instant confirmation, a vehicle-availability calendar and hourly bookings. Fleet Share offers satellite locations, starting with Triton Center.
Who can use Fleet Share?
UC San Diego staff members can use Fleet Share for official university business.
What counts as official business?
- Work travel (inter-office, off-campus training/conferences)
- Giving guests tours
- Hauling equipment/supplies
- Competitive sports events
- Covering for vehicle in repairs
- Insurance-claim coverage
- Extra support during peak periods
Can I use Fleet Share for personal trips?
No, it's for university business only. For personal use, see Carsharing.
Can Fleet Share be used for carpooling/vanpooling?
Not currently.
What's a driver profile and how do I create one?
A driver profile is your Fleetster account that includes contact information, department billing information (project/task) and driver's license details. You'll get a confirmation email once approved. Profiles must be created on a desktop.
Do I need the Fleetster app?
No, a mobile browser or the Fleetster website work too; however, the app is the most convenient and user friendly option.
Can I use the Fleetster app on a personal phone?
We recommend using your work phone, but the app can be used on your personal phone for free. Login using your Single Sign-On credentials.
Does the Fleetster app track my location?
No.
Can I still rent a vehicle without a driver profile?
Fleet Services at Campus Services Complex will honor old-style paper rentals temporarily during the transition period. A cutoff date will be posted; after that, a driver profile is required.
Can I enroll my entire team?
Email Fleet@ucsd.edu with a list of driver emails. Each person will receive an individual sign-up link.
Can others ride along?
Yes, for university-business purposes (staff, students, contractors and university guests) can ride along. Personal passengers (friends and family members) are not allowed for insurance reasons.
Reservations
When can I reserve vehicles?
You can reserve a vehicle online 24/7. Staff support is available 7:30 a.m. – 4 p.m. weekdays.
Do I need a separate login?
No. Fleet Share uses Single Sign-On Active Directory credentials.
Do I need supervisor approval?
You only need supervisor approval once when you create your driver profile. Supervisors can also book on behalf of their employees.
Can I make multiple reservations?
Yes, if they don't overlap. One driver can't drive two vehicles at once.
Can I pick up a vehicle for someone else?
No. Only the driver on the reservation can collect the vehicle.
Can reservations recur?
Yes, reservations can be made for the same vehicle, time and day of the week.
Can I reserve a vehicle for someone else?
Yes, but that person must have their own active profile and collect the vehicle themselves.
How do I get help during a reservation?
Call Fleet Services at 858-534-3485 from 7:30 a.m. – 4 p.m. weekdays.
How early can I arrive before my reservation?
You can arrive up to 15 minutes before your start time, if the vehicle is available.
Can I edit a reservation beforehand?
Yes, you can edit a reservation in the app or browser.
Can I cancel a reservation?
Yes, you can cancel in the app or browser. Canceling less than 24 hours before the start time may incur a charge.
What if my vehicle isn't there?
A comparable vehicle will be reassigned to you. You can also call Fleet Services at 858-534-3485 from 7:30 a.m. – 4 p.m. weekdays for assistance.
What is the minimum and maximum rental length?
One hour minimum and 30 days maximum.
Is there a mileage limit?
No, mileage is unlimited.
Vehicle Use
Where are the vehicles located?
You can find Fleet Share locations on the campus map or using the Fleetster app. Currently, locations include Campus Services Complex and Triton Center.
Do I pay for parking?
No, parking in A, B, S and Service Yard stalls is included. Reserved stalls are not.
Where do I return the vehicle?
Return the vehicle to the same location and stall where you picked it up — no one-way rentals or cross-location drop-offs.
Are there restrictions on which vehicles I can reserve?
Yes, restrictions are based on your license classification. Fleetster only shows vehicles you're cleared to drive.
What if I'm taking a long off-campus trip?
Pick up a fuel card from Fleet Services beforehand.
Where do I refuel?
On campus, use the Campus Services Complex fuel island or off campus with a fuel card.
How do I report a vehicle issue?
Report damage when starting your reservation in the app or browser, or email fleet@ucsd.edu.
Where can I drive?
You can drive on paved roads only. You cannot cross international borders. Out-of-state trips need department head approval (bring a fuel card).
Do vehicles come with fuel cards?
\No. The keychain has a fob for the Campus Services Complex fuel island only. For off-campus fueling, sign out a fuel card from Fleet Services before or during you reservation.
Do electric carts come with charging cables?
No. For extended rentals where you may need to charge, sign out a portable cord from Fleet Services before or during your reservation.
Can carts use Level 2 EV chargers?
No. Most can use cart-specific low-power cables only. Certain model-year carts can use Level 2 chargers, which will be indicated by a sticker next to the charging port.
What should I do it I'm running out of time to refuel?
Call Fleet Services, 858-534-3485. If the next reservation allows, we can extend your reservation for free to allow you to refuel before returning the vehicle.
Will the tank be full when I pick up the vehicle?
This is not guaranteed. Users are asked to refuel when the tank reaches 25%. It's your responsibility to ensure that you have enough fuel at the start your trip.
Do I need to refuel after every trip?
Gas vehicles should be refueled at 25% full. Electric vehicles should be plugged in at the end of your reservation.
What if I can't return on time?
Extend your reservation via the app or browser or call Fleet Services at 858-534-3485 as soon as possible.
What should I do if I'm in an accident?
Follow the UC accident procedure. (A paper copy is in the glove box.)
Am I insured?
Yes, drivers are insured under UC San Diego's insurance program for official business use.
What should I do if I left personal items in the vehicle?
Contact Fleet Services, 858-534-3485.
What should I do if someone is parked in my Fleet Share stall?
Park in the nearest open space, photograph the situation and email it to Fleet@ucsd.edu. Report the unauthorized vehicle to Parking Enforcement at 858-822-3379.
Are Fleet Share vehicles tracked?
Yes, vehicles are tracked for security purposes.
Kiosks and Key Cabinets
Which locations have kiosks?
Triton Center
How do I get and return keys from the cabinet?
Reserve ahead, then enter your PIN at the kiosk. The door unlocks and your key is marked with a green LED.
Enter your PIN, open the door, place the key in the slot marked with a green LED and close it. This completes your reservation.
How do I report a kiosk issue?
Email Fleet@ucsd.edu or call 858-534-3485.
Can I hand keys to the next driver?
No, you must return keys to the kiosk and the next driver must start their reservation with their own PIN.
Recharge and Pricing
How do I pay?
Fleet Share recharges your department's GL code (project/task number) monthly. You set this up in your driver profile and you can update it anytime.
How much does it cost?
See recharge rates.
Do I pay for fuel?
Yes, a per-mile fuel recharge is based on that day's UC San Diego's fuel prices, regardless of whether you refuel.
Do I get charged for all the fuel if I must refill?
No, fuel is recharged depending on miles driven, regardless of whether you filled up or not.
Is there a cancellation fee?
No-shows or cancellations within 24 hours of reservation start time are charged for the first day (or the full reservation, if shorter than one day).
Are there any other fees?
Excessive dirt or litter incurs a cleaning fee. Returning a vehicle with very low fuel may incur a fee if we must dispatch someone to refuel it. Report vehicle condition at pickup to avoid being charged for pre-existing issues.
Do I pay for damages after an incident?
Fleet Services files the claim with Risk Management. Repair costs go to your department first, then Risk Management reimburses through UC's self-insurance program.
How is the daily rate calculated?
Rates are charged hourly up to five hours; at the sixth hour, it switches to the daily rate.
