How to Rent A Vehicle
- The department renting the vehicle for official business use must complete the Customer Section of the Vehicle Use Authorization Form before picking up a vehicle. Ensure that the approving person with fiscal authority and billing information are complete.
- Collect this information to prepare a request:
- Date and time you will pick up and return the vehicle from Fleet Services
- Driver's name and destination (e.g., local, Orange County, etc.)
- Department Project and Task number
- Department phone number
- Select the type of vehicle you want to rent (e.g., car, van or truck).
- Request a vehicle at least two business days in advance in one of two ways:
- Call Fleet Services, (858) 534-3485, 7:30 a.m. and 4 p.m. weekdays.
- Visit the Fleet Services office.
- Pick up your vehicle at Fleet Services.
- Bring your completed Vehicle Use Authorization Form with you, unless you reserved the vehicle through Marketplace or faxed your form to the office.
- You must present a valid state driver's license when picking up your vehicle.
- No university vehicles can be used off road — anything other than a paved surface; no exceptions.
- Return your vehicle to Fleet Services and complete the Vehicle Return Section of your Vehicle Use Authorization Form. If you return your vehicle during business hours, 7:30 a.m. to 4 p.m. weekdays, leave the key and form at the office. After business hours:
- Park in the lot across from the Fleet Services office.
- Lock the vehicle.
- Put the key and your completed form in the Night Drop Box located outside the Fleet Services main gate.
